Tender protocol

Online bidding by tender registration is a digital sales method in which legalized participants can submit one or more bids on a property within a predetermined period. During the tender registration period, the bids are confidential and are only opened after closing under the supervision of the auction notary.

How can I submit a bid?

Step 1: Register

To participate in a tender registration, you first need to create an account on our website. You can create an account on the registration page.

Step 2: Legalization

To participate in our online auctions and tenders, identification and legalization of your signature on the registration statement by a civil-law notary are also required. This identification and legalization can be carried out by any civil-law notary in the Netherlands, sometimes for a small fee.

Download the legalized registration statement and see which notary offices can arrange the legalization for you free of charge.

For real estate auctions and tenders, identification and legalization of the signature by a civil-law notary are mandatory. Legalization by the municipality is not valid.

Step 3: Complete

The signed and legalized registration statement, the original document, can then be sent by post to our platform notary: Hekkelman Notarissen. The address details are listed on page 5 of the registration statement: Hekkelman Notarissen, Department of Auctions, Oranjesingel 41, 6511 NN Nijmegen.

If the auction is taking place soon, we recommend asking the relevant notary to email a copy to the platform notary in advance via veilingen@hekkelman.nl.

Once Hekkelman Notarissen has received the documents, they will process them. You will be notified by email. You will also be contacted if something is incorrect, such as an incorrect customer number.

How does a tender work?

Submitting a bid

A bid is submitted through the digital bidding module on the sales page. This bid consists at minimum of:

  • a bid amount in euros.

If permitted by the seller, a bid may also include:

  • an explanatory note;
  • one or more attachments, for example a financing condition or maintenance plan.

If these options are disabled, only an unconditional bid based on the established conditions is possible.

Multiple bids

It is permitted to submit multiple bids per property.

Each bid is registered and stored separately. During the bidding period, these bids are only visible to the bidding entity.

Please note: bidding in a tender is binding.

A bid is always unconditional and irrevocable, and no reservations can be attached to it, unless otherwise stated in the sales conditions for the relevant sale.

Common reservations, such as a financing condition or a condition relating to obtaining a housing permit or other required permits, are often not possible in a tender. Buyers must therefore inform themselves properly in advance.

Confidentiality and digital vault

All bids are stored in a digital vault for the duration of the tender.

The digital vault has the following characteristics:

  • the vault cannot be accessed while the tender is open;
  • bids are not visible to other participants;
  • bids are not visible to the auction house or the client.

This ensures maximum transparency.

Closing of the tender

After the closing date has passed, the tender is closed.

The bidding module is automatically deactivated and participating bidders will see that the tender has closed.

Once the tender has closed, only the appointed auction notary can open the digital vault.

After opening the vault, the auction notary sees an overview of all bids, ranked by bid amount.

For each bid, the following can be viewed:

  • bid amount;
  • date and time of submission;
  • any comments;
  • any attachments;
  • bidder details.

After the tender has closed

  • no highest or winning bid is shared with other bidders;
  • bidders do not receive access to competing bids.

This safeguards the confidentiality of the bidding process. Of course, the seller may decide to disclose the highest bid, but this differs per sale.

Awarding

The sale takes place subject to awarding by the client.

After the tender has closed, the seller receives the relevant documents, including the highest bid or bids.

The client decides whether to award the sale and to whom.

After awarding, the purchase agreement is concluded between the seller and the buyer.

The further legal handling after awarding takes place through the project notary, who will contact the bidders involved.

Sales conditions apply to every sale and are listed separately for each sale. Carefully read these general and special conditions before participating in the sale, and contact the auction organizer in good time if anything is unclear. In the event of a conflict between the general and special sales conditions, the special sales conditions apply.   • Firefox version 145.x or higher

Connection

  • A stable and sufficiently fast internet connection (>1 Mb/s), preferably wired.
  • Wi-Fi connections may stutter, cause delays or interruptions, including timeout errors, and are not recommended.
  • Mobile connections, such as UMTS, are not recommended.
  • Mobile devices, such as smartphones and tablets, may show delayed updates.
  • Browser security must be set to normal or lower.
  • JavaScript must be enabled.
  • Cookies must be accepted.
